Operations and Donor Support Coordinator

Position Summary: The Operations and Donor Support Coordinator is a key member of the Community Foundation of Southeast Kansas (CFSEK) team, ensuring the efficient operation of its systems, programs, and donor initiatives. This position focuses on maintaining software systems, cultivating donor information, and managing giving societies. The role also supports communication and marketing efforts, community engagement activities, and assists with programming, all with the goal of helping to strengthen relationships, enhance operational efficiencies, and further the Foundation’s impact throughout the region.

Reports To: Executive Director

OPERATIONS SUPPORT

  • Provide support and maintenance for the Foundation’s Customer Relationship Management (CRM) system, including data entry, donor updates, and user assistance.
  • Administer the Foundation’s website and other software platforms, ensuring accurate content, functional design, and effective integration with other systems that serve the needs of the CFSEK team.
  • Manage the Foundation’s Giving Circles, Legacy Society, and other donor groups, including communications, meeting coordination, and record keeping.
  • Generate reports and analyze data from the CRM and other systems to support donor development and program activities.
  • Conduct donor research and prospect identification in collaboration with the Donor Engagement Officer to prioritize cultivation opportunities.
  • Organize Match Week communications with participating organizations, manage the Match Week websites for CFSEK and its affiliates, and work with the CFSEK team to host the most effective events possible.
  • Ensure compliance with record-keeping policies and maintain donor confidentiality.

COMMUNICATIONS AND ENGAGEMENT SUPPORT

  • Support the Marketing and Communications Coordinator with content creation and outreach efforts.
  • Assist the Program Coordinator with website updates, systems support, and data as needed.
  • Aid in the planning and execution of Foundation events and meetings.
  • Serve as the point of contact for inquiries from donors, nonprofits, or other stakeholders in need of assistance with any CFSEK systems.
  • Provide support to the Executive Director and other staff members as needed.
  • Represent the Foundation at community events.

GENERAL DUTIES

  • Answer phones, assist walk-in visitors, and support office operations as needed.
  • Other projects and duties as assigned.

REQUIREMENTS AND SKILLS

  • Proficiency in Microsoft 365 and ability to learn new software, including CRM and website content management systems (CMS). Experience with WordPress preferred.
  • Excellent interpersonal, verbal, and written communication and customer service skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks, manage multiple demands, and follow through to completion.
  • Ability to work both independently and collaboratively as a team member.
  • Knowledge of nonprofit operations, community philanthropy, and communications principles preferred.
  • Experience with donor research is highly desirable.
  • Valid driver’s license and auto insurance.
  • Bachelor’s degree or equivalent level of relevant experience or combination of education and experience.

COMPENSATION AND BENEFITS

  • Full-time position (40 hours per week) with a competitive wage based on experience and qualifications.
